Withdrawals and refunds
When withdrawing from a class(es) it is your responsibility to complete the necessary forms and submit them to the Customer Service Centre. The process for withdrawal and refund is explained below.
How to withdraw from a course/program

Call the Customer Contact Centre on 1300 CQ TAFE (1300 27 8233) or visit your local Customer Service Centre and formally withdraw by completing an Enrolment Amendment Application Form [Word 205 Kb]

Complete and submit a Refund Application [Word 143 Kb] if you believe you are eligible for a refund as specified in the TAFE Queensland Refund Procedure.

Notify your teacher of the classes that you will no longer be enrolled in.
Note:
-
All outstanding fees/invoices are due and payable immediately.

No fees, paid in full or part thereof, will be refunded where students withdraw or cancel enrolment (after the commencement date of the class/es)

The onus is on the student to complete and return withdrawal and refund applications to the Customer Service Centre, not Faculty/Teaching staff.

Appropriate documentation will need to be supplied with refund application as evidence if withdrawing after classes have commenced.
TAFE Queensland Refund Procedure
A student will receive a refund if:
-
the institute cancels the course or module (automatic refund)
-
academic exemption is granted for a module - students must apply within five weeks from the commencement of the module by submitting a Refund Form (link to form CQI-FRM320)
A student may receive a refund, less $10.00 administration charge per cancellation if:
-
cancelling and submitting refund application prior to commencement date of module (minimum 2 working days prior for ACE courses and commercial/non-government funded subjects)

an offering by QTAC is received and accepted
-
suffering an illness or injury preventing completion of module

exceptional circumstances prevent completion of module/s - a detailed request must be submitted to the Institute Director in writing for assessment on a case-by-case basis.
For cancellations after the commencement date supporting documentation must also be presented prior to the completion of class assessment (e.g. medical certificate, letter explaining exceptional circumstances, QTAC acceptance letter etc). Failure to attach supporting documentation may cause delays or result in your refund being declined.
When a refund is less than the $10.00 administration charge per application, no refund will be processed. For formal contracted courses, any changes will need to be negotiated between parties involved (e.g. company contracts).
Refunds are not available for ACE courses and commercial based programs if the student has not withdrawn and applied for a refund (to the Customer Service Centre) 2 days prior to the commencement of the program.
Refunds may take 3 - 4 weeks to process.
